For most businesses, Microsoft 365 just sort of arrives. Email works, files exist, Teams gets used a bit - and that's about it. Here are five simple changes that often make a bigger difference than people expect.
1. Clean up your file sharing
If your team is still emailing documents back and forth, or you've got three versions of the same spreadsheet floating around, you're not really using Microsoft 365 - you're using it as a very expensive email client. Move shared work into Teams or SharePoint, set proper permissions, and the version-chasing stops overnight.
2. Use Teams as it's meant to be used
Teams is often treated as "Skype with extra steps." Used properly, it replaces most internal email, gives every project or department its own space, and keeps conversations searchable instead of buried in someone's inbox.
3. Turn on multi-factor authentication
This is the single biggest security improvement most businesses can make in an afternoon. If it isn't switched on for every user, it should be at the top of your list - regardless of anything else in this article.
4. Automate the boring stuff
Power Automate is included in most Microsoft 365 plans and can quietly take over repetitive tasks - approvals, notifications, saving email attachments to the right folder. Small automations like this save real hours over a year.
5. Get your team properly trained
The tools rarely fail. Adoption does. A short, focused training session - not a two-hour lecture - is usually all it takes to turn "we sort of use Microsoft 365" into "we actually get value from what we're paying for."
None of this requires new software or a big project. It requires someone to look at what you've already got and tidy it up.
